Job Summary:

The Payroll Specialist serves within the Payroll & Benefits Department and is responsible for accurate, timely, and compliant payroll processing for a large, multi-state workforce. This role coordinates the payroll cycle, reviews and reconciles payroll data, resolves discrepancies, and helps ensure employees are paid correctly each pay period.

The Payroll Specialist works closely with the Payroll and Benefits Manager, Human Resources, Finance, operational leaders, and employees. The position requires strong payroll knowledge, attention to detail, and a service-oriented approach to managing sensitive information and deadline-driven work.


Essential Duties and Responsibilities:

Payroll Processing & Reconciliation

·       Coordinate full-cycle payroll processing for assigned employee groups.

·       Review time, earnings, deductions, reimbursements, leave, rate changes, and other approved payroll adjustments.

·       Audit and reconcile payroll results, identify discrepancies, and ensure corrections are completed before payroll is released.

·       Process final, off-cycle, or manual payments when needed.

Payroll Compliance & Garnishments

·       Apply federal, state, and local payroll requirements, including wage-and-hour, payroll tax, and final-pay rules.

·       Administer wage garnishments and related court or statutory documentation, with particular emphasis on Arizona and Colorado requirements.

·       Maintain accurate, confidential payroll records that support audits and compliance reviews.

Employee Support & Department Collaboration

·       Respond to payroll questions and employment verification requests with accuracy, professionalism, and discretion.

·       Partner with Human Resources, Finance, and operational leaders to research and resolve payroll issues.

·       Provide payroll guidance and support during employee changes, corrections, and other time-sensitive situations.

Reporting & Process Support

·       Prepare recurring and ad hoc payroll reports for leadership and business partners.

·       Support payroll audits, workers' compensation reporting, process improvements, and departmental projects.

·       Assist with testing, implementation, and adoption of payroll process or system changes.


Required Skills and Abilities:

·       Strong knowledge of payroll processing and multi-state payroll compliance.

·       Working knowledge of federal and state wage-and-hour laws, payroll taxes, final pay, and garnishments.

·       Strong analytical, auditing, and reconciliation skills.

·       High level of accuracy, organization, and attention to detail.

·       Ability to manage recurring deadlines in a high-volume environment.

·       Excellent communication and employee service skills.

·       High degree of discretion, integrity, and professionalism.


Education and Experience:

·       Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field preferred.

·       Minimum of three (3) years of payroll processing experience required.

·       Experience supporting a high-volume, hourly, multi-state workforce strongly preferred.

·       Proficiency with payroll systems and Microsoft Excel required.
