Scheduling Coordinator (Work-From-Home)

We are looking for a Scheduling Coordinator who brings professionalism, strong organization, and calm problem-solving to a mission-driven home care team. This role is central to our day-to-day operations. You will help coordinate care, support our caregivers, and ensure every shift is covered with accuracy and urgency.

What You’ll Do
Scheduling & Care Coordination
- Accurately enter all schedules into our system in a timely manner.
- Coordinate 400+ client shifts with the right caregivers.
- Ensure every care shift is covered and proactively solve gaps before they become problems.
- Communicate directly with caregivers to confirm assignments and keep schedules stable.
- Maintain a clear rhythm in the daily flow of scheduling while adapting quickly to changes.
Data Accuracy & System Management
- Manage and update records in our client management system, including:
- care plans
- client profiles
- caregiver profiles
- payroll entries
- Keep documentation clean, current, and audit-ready.
- Track authorizations and scheduling requirements to remain aligned with regulations.
Caregiver Support & Training
- Conduct caregiver training and ensure adherence to company standards.
- Serve as a dependable advocate for both caregivers and clients when conflicts arise.
- Maintain a helpful, upbeat presence while navigating high volumes and changing needs.
Quality & Service Excellence
- Stay proactive in monitoring care quality and documenting progress.
- Respond to all communications promptly, politely, and professionally.
- Bring a solutions mindset to caregiver and client concerns.
- Participate in on-call coverage as part of the role.

Who We’re Looking For
- Excellent English communication skills, written and verbal.
- At least 2 years of administrative or service coordination experience.
- Scheduling experience strongly preferred (especially in healthcare or service-based environments).
- Strong customer service instincts and a genuine desire to help others.
- High proficiency in Microsoft Office and comfort with computer-based systems.
- Typing speed of 60+ WPM.
- Highly organized, able to multitask, and capable of managing complex scheduling needs.
- Tech-savvy and quick to learn new systems or workflows.
- Friendly, polished, and professional in every interaction.
