Schedule: Full-Time, Remote

On-Call: Participation in weeknight, weekend, and holiday rotations as required

As a Scheduling Coordinator, you play a vital role in making that mission happen. You are the connection point between our clients, families, caregivers, nurses, and operations team—making sure the right people are in the right place at the right time.

This is a fast-paced role where no two days are exactly the same. You’ll use your organization, communication skills, and problem-solving abilities to navigate changing schedules, respond to call-outs, and find solutions when challenges arise. Most importantly, you’ll help create consistency and confidence for the people who rely on us every day.

What You’ll Do

Keep Care Moving

  • Create, manage, and maintain daily schedules for caregivers and nurses
  • Match field staff with ongoing clients based on availability, skills, and client preferences
  • Respond quickly to call-outs and fill open shifts to minimize disruptions to care
  • Actively monitor unstaffed and red shifts throughout the day
  • Confirm caregiver attendance and help resolve clock-in and clock-out issues
  • Monitor overtime trends and escalate concerns when needed
  • Keep scheduling information accurate and up to date

Build Great Experiences for Clients & Caregivers

  • Complete scheduling welcome calls with all new clients
  • Communicate staffing updates and schedule changes clearly and professionally to clients and families
  • Conduct sit-down scheduling sessions with new hires as part of orientation
  • Review care plans and assigned tasks to ensure clients are appropriately staffed
  • Maintain accurate client and caregiver match criteria within scheduling systems
  • Help caregivers understand scheduling expectations and set them up for success

Be a Trusted Problem-Solver

  • Answer incoming calls promptly and provide a welcoming experience
  • Respond to scheduling questions, concerns, and complaints from caregivers and clients
  • Handle last-minute changes with professionalism, urgency, and a solutions-focused mindset
  • Coach caregivers on scheduling expectations, timekeeping procedures, and policy compliance
  • Accurately document staffing changes and updates in the scheduling system
  • Communicate effectively with internal teams to resolve issues quickly

Be Part of a Team That Gets Things Done

  • Review unstaffed shift reports and partner with Recruiting to identify staffing needs
  • Collaborate with Operations and other departments to support excellent client care
  • Assist with greeting visitors and creating a welcoming office environment
  • Attend and actively participate in weekly team meetings
  • Participate in weeknight, weekend, and holiday on-call rotations
  • Take on additional responsibilities as needed to support the team and our clients

Experience & Qualifications

  • At least one year of scheduling, administrative, healthcare, home care, or related support experience preferred
  • Strong verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Ability to work full-time on-site during regular business hours
